Introduction to User Management
Users of the Reworc Software have different roles depending on what they need to do on the Reworc platform. This article explains the user structure of the Reworc platform.
Different Business Entities
First, it is good to clearly understand the different business entities that use the Reworc platform.
- Teams. From the perspective of the Reworc entity, the organizations that subscribe to its Software as a Service. Because Reworc Software is User Centric, it adopts the perspective of its subscribers; it refers to this entity as the "Team" or "My Organization."
- Clients. From the perspective of these Reworc Subscribers, the entities that make their "work" work using the Reworc Software are most often their "Clients."
- D.I. Participants. These groups at the Client participate in a Digital Interview workstyle assessment.
Different Applications
Second, it is good to have a clear picture of the different Applications on the Reworc platform.
- The Digital Interview is the workstyle assessment that allows people at the Client to reflect on how they work.
- WorkNavigator is the interactive dashboard that lets you understand Work.
- SpacePro is the behavior and parameter-based program to create space programs.
User types and Roles
Without counting the Reworc administrators, there are four types of Users.
- Team Users
- D.I. Users
- Space Program Users
- Client Reps
1. Team Users
These are most often those who work for the organization that subscribes to the Reworc Software. These are the 'power-users' of the platform. They can create new Clients and new D.I.s for a client. They can view and edit these objects' metadata in Reworc. Because not every Team user should always see all the details of a Clients' D.I., they do not automatically have access to the D.I. itself in WorkNavigator. For this, they need to become D.I. Users.
Currently, there are no Roles for Team Users. Still, soon, there will be specific Roles such as: "Privacy Officer" and "Account holder."
2. D.I. Users
These users can open a Digital Interview in WorkNavigator to see the results of the workstyle assessment and analyze the patterns to understand how they work and what they need to improve. There are three Roles for the D.I. User type.
- Viewer, a user with this Role, can only view the dashboard, slicing, and dicing, including any existing scenarios for which they were given they were invited.
- Editor, a user with this Role, can not only view the dashboard but also create scenarios and edit existing ones.
- The Manager, a user with this Role, can not only edit the scenarios but also invite other D.I. Users. Every D.I. can only have one Owner at any time. This way, it is always traceable who gave access to who, a way to ensure accountability. Only specific User types can become an owner: "Team Users" from the team to which the Client of the D.I. belongs and "Client Reps" of the Client can become a D.I. User with the Owner role.
A D.I. User can also have a Restriction Attribute. This allows them to only see that part of the D.I. they belong to. If, for example, a "Manager" for "team" "Marketing" becomes a D.I. User with the Restriction Attribute "team," this person can only see the workstyle information for team Marketing. Their colleague, a "manager" for "team" "HR," will the same Restriction Attribute will only see the results for team "HR."
3. Space Program Users
Whereas Team Users can work in any Space program that belongs to the organization they are a Team User for, Space Program Users only have access to specific Space Programs they are a user for. This way a Team can also invite people who should only access a specific program. There are three Roles for the Space Program User type.
- Viewer, a user with this Role, can only view the Space Program for which they were invited. They can use all the pages and the grouping functionality and export the data, but they cannot change anything in the Space Program.
- Editor, a user with this Role, can do everything the Viewer can and edit the number of Planned spaces and the Program's settings (including the introduction).
- Composer, a user with this Role, can do everything an Editor can and change all the information in the Compose menu (like Space type metadata, generators, behavior matrixes etc.). They cannot create new Space Programs or copy existing ones.
Only Team Users can invite Space Program Users.
4. Client Reps
These users can edit the metadata for the Client they are made Client Rep for. Thus, they can change the privacy settings and upload and/or edit Participant data.
Usually, a Team User will invite an HR employee from the Client they are working for to safely upload the employee data directly into the Reworc system so that it meets internal safety, security, and privacy protocols.
