The Communication to the participants
To be sure that the digital interview gets the attention of the employees it is very important that the communication connects with the company's motivation and reason to execute the interview.
Communication list:
- Announcement: An internal email or message which tells the audience about the upcoming digital interviews, and motivates them to participate.
- Email Invitation: The email invitation goes to each employee/participant. It asks the participant to contribute within a certain time frame, and contains a personal link to start their digital interview.
- Landing page: The landing page is the first page of the interview. It contains a welcome message and introduces the steps.
- Reminders: WPA has auto-reminders to employees that have not yet started or partially responded to their digital interview.
1. Internal announcement
This is preferably a personal email either used as an announcement or a more detailed explanatory piece of communication. The copy can also be used as the basis for a senior leader speech (from within the company) during a company- or teamwide announcement. This will explain the need for the survey and the steps following. Our advise is to communicate this announcement one week or less, prior to the actual release of the digital interview.
2. Email Invitation
Our survey engine will send each employee a personal “Invitation” email. This email contains detailed instructions and a personal link to the digital interview. All communication and a logo in the header can be personalized. For anonymity and secure data processing the “Invitation” email is send out from a Reworc engine.
3. Landing page
The landing page is the very first page that a respondent will see when they click on the start button, embedded in their “Invitation” email. This landing page provides some quick-start instructions and last minute details. This copy can also be further personalized if needed.
4. Reminders
4.1 Partial response
When an invitee starts the survey, but doesn’t have the time to finish it or simply gets interrupted, we are able to send them a “partial response” reminder. We recommend to activate this reminder with the 1st “no-response” reminder. Please note that the “partial response reminder” can be sent out in cycles of 24 hours.
4.2 no response reminder
A reminder can be sent out to all invitees who have not yet started the survey. We recommend to send out this “no response” reminder after the first week. Should invitees have already started filling out the survey, they will NOT receive this reminder, it will only be sent out to people that have not yet responded. We recommend to activate this reminder after one week, preferably combined with the “partial response” reminder for extra attention value amongst colleagues.
4.3 Final no response reminder
A final “no response” reminder can be sent out to all invitees who, even after the first reminder, have not yet started the survey. We recommend to activate this final reminder 48 hours before this out two days before the closing date of the survey.
